The Manager, Research Operations will manage all administrative aspects of the Research Program to ensure research programs operate with transparency, accountability and integrity. Manage all logistics associated with application solicitation, review, award, execution and closeout. Develop and maintain a research database to manage the grant process and provide searchable access to manage spending and track outputs. Ensure that all operating systems function effectively to maintain an efficient process for an expanding research portfolio, including all technology support. Collaborate with Medical Advisory Council (MAC), Finance staff and other funders as necessary.
Responsibilities and Duties. Core duties and responsibilities include the following. Other duties may be assigned.
Oversee all administrative and logistical aspects of the Research Programs.
Managing communications with business officials and scientists about the logistics surrounding applications, reporting, budgets and other aspects of award administration.
Managing receipt and distribution of all applications and MAC meeting arrangements.
Leading support efforts for peer review meetings and MAC including logistics and materials.
Issuing research contracts and managing contract negotiations, ensuring contracts comply with Foundation policies and values.
Tracking compliance with award conditions, including progress reports, and ensuring compliance.
Managing the electronic grant system to keep it up to date and in line with other funding agencies. Review grant payments and liaise with the Finance Department to ensure timely payments. Communicate with investigators to ensure interim scientific reports are sent to research staff.
Managing and updating the Research pages of research website, including researcher project pages, to ensure accuracy and alignment with the research grants database.
Managing Workshops, Working Group Meetings and Symposia including communications with invited participants, travel arrangements, meeting materials and co-ordination of meeting with venue representatives.
Supporting development of new other research programs and mechanisms as required. Collaborating on the development of performance and impact measures of the research program, and monitoring and reporting outcomes
Provide/direct technical support, including but not limited to, Grants Edge or other grants management systems
Convey a professional and positive image at all times that reflects favorably.
Qualifications and Skills
Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
Three to five years progressive experience as a grants administrator managing a portfolio of different funding mechanisms.
Three to five years of experience working with research awardees.
Three to five years of experience managing budgets, contracts, supporting strategic planning, and projecting costs across multi-year grant programs.
Advanced level of competency in MS word, Power Point, Excel, Access. Familiarity with PubMed and Internet searches.
Advanced level of competency in grants databases similar to Grants Edge, and other electronic grant [application] systems.
Ability to organize meetings and workshops.
Highly organized thinker and planner with attention to detail.
Proficient computer skills required: Accounting Software; Contract Management Systems; Development Software; Inventory Software; Microsoft Office; Project Management Software
