Support the CHEST publishing program, which consists of newsletters, books, and scientific peer-reviewed journals, through coordination of meetings with internal staff, external physician editors, and publishing partners. Aid in organization and preparation of content for publication and/or multimedia production. Provide administrative assistance to support division operations.
Coordinate the scheduling and hosting of regular conference calls with the journal Editor in Chief, Deputy Editors, Associate Editors, and Assistant Editor.
With direction from senior staff, draft and disseminate agendas for all stakeholder calls and meetings, draft minutes, and track action items. Ensure accessibility of minutes and key materials through sharing platforms where appropriate.
Support the team in preparation for face-to-face and strategic editorial team or partner meetings through liaising for logistics and contributing to the development of reports and presentations.
Support the coordination and production of multimedia series through scheduling audio and video shoots; aid in on-site production.
Aid in the tracking and coordination of editorial calendars and production schedules.
Provide proofreading and copyediting support for publications as needed.
Train to serve as backup on key systems and processes, including the peer review management system, question-authoring tool and database, and the quality central workflow.
Provide administrative support to department, division, and SVP as needed.
Complete other special projects as assigned.
Bachelor’s degree in communications, information management, science, or a related field
Two years’ prior work experience in an office/professional setting
Meticulous attention to detail and ability to function in highly deadline-driven setting
Friendly, service-oriented disposition in working with internal teams and external stakeholders, including physician Editorial Board members, authors, and volunteer leadership
Interest in publishing and multimedia production
Proofreading experience; general understanding of style manuals (eg, American Medical Association Manual of Style, Associated Press Manual of Style, Chicago Manual of Style)
Clear written and verbal communication; ability to visualize complex concepts
Understanding of relational databases and workflows
Expertise with word processing, Microsoft Office, and webinar hosting platforms
Familiarity with medical terminology; understanding of medical literature (ie, databases such as PubMed) and research protocols
Ability to work effectively as part of a team as well as be a strong individual contributor
Flexible and adaptable to evolving priorities and activities
