The Geological Society of America Foundation (GSAF) is an independent 501(c)(3) organization founded in 1980 to raise and manage funds solely in support of the mission of the Geological Society of America (GSA). The GSAF seeks a part-time (35 hours / week) Database Coordinator. This position reports to the Foundation's Assistant Development Manager
The Database Coordinator primary responsibilities are related to our donor management system, Blackbaud’s Raiser’s Edge software. As an integral member of the fundraising team, the Coordinator:
Maintains database records, including donor information
Maintains and fulfills donor and gift reporting systems
Processes gift receipts and tax information letters
Supports other Foundation staff and Board of Trustees as needed (such as provision of contribution summaries and reports)
Works with a minimum of direction in Corporate Headquarters
Responsible for maintaining electronic data relating to gifts and donors including:
entering gifts and posting all gift receipts to fund records
creating donor records and updating donor information and gift history files
preparing and mailing receipts and acknowledgment letters
Responsible for gift reporting system, including:
maintaining and generating pledge information and reminders
generating monthly reports of revenue receipts and sources
generating periodic reports of named fund and special purpose gifts
generating periodic reports of donor giving histories
Responsible for fundraising support activities, including:
maintaining inventory of fundraising information, letterhead, and brochures
preparing special occasion correspondence, such as birthday card envelopes, special mailing lists, donor recognition lists, etc.
assisting with preparation of reports for meetings of GSAF Trustees and volunteers
Responsible for GSAF office support activities, including:
composing and maintaining GSAF Raiser’s Edge polices and procedure documentation
assisting and training on Raiser’s Edge systems and procedures
using ImportOmatic to maintain up-to-date donor/member records in Raiser’s Edge
assessing and, where necessary, updating current processes and procedures related to records and gift processing to implement time and cost-saving measures
Responsible for other special projects and tasks as may be assigned, and for supporting the activities of the Foundation's staff and Board of Trustees
Knowledge, Skill and Ability
Three to four years of non-profit experience
Required proficiency in Blackbaud’s Raiser’s Edge and MS Windows Word and Excel
Strongly preferred proficiency in ATA iMIS and Omatic’s ImportOmatic
Experience in creating user-friendly reports
Proficient in grammar, spelling, and math
Proficient in typing, proof reading, and data entry; attention to detail is paramount to this role
Able to work efficiently with minimal supervision
Able to work amiably in a team environment
Willingness to take a proactive approach to current procedures and consider changes for increased efficiency
Maintenance of confidentiality, particularly in regard to donor records, financial, and giving information

The chief executive officer of the GSAF is a President who reports to a seventeen- to twenty-member Board of Trustees that includes the Executive Director of GSA as an ex officio non-voting member. The GSAF President is an ex officio non-voting member of t...he GSA Council.
In addition to the President, GSAF staff includes the Director of Development, Assistant Director of Development, a Campaign Coordinator, and a Database Manager. Part-time staff is employed on an as-needed basis for clerical support, special projects, and back-up staffing at off-site meetings.
